Position Overview

Citadel Security USA is seeking an experienced Fleet Manager to oversee the daily administration, maintenance, and operational readiness of the company's vehicle fleet. This position plays an essential role in supporting field operations by ensuring vehicles remain safe, complain, and available for deployment while maintaining cost-effective fleet performance.

The successful candidate will possess strong organizational skills, operational leadership experience, and the ability to coordinate multiple priorities while working closely with operations leadership, vendors, and field personnel.


Primary Responsibilities

Fleet Operations

  • Direct daily fleet activities to ensure vehicles are available and properly assigned.
  • Coordinate vehicle scheduling to support operational staffing requirements.
  • Monitor fleet utilization and recommend improvements to maximize efficiency.
  • Support emergency vehicle requests and operational transportation needs.

Vehicle Maintenance & Asset Management

  • Schedule preventive maintenance, inspections, and required repairs.
  • Coordinate with repair facilities and service providers to minimize vehicle downtime.
  • Monitor vehicle condition and maintain accurate maintenance histories.
  • Assist with vehicle acquisitions, transfers, replacements, and retirement planning.

Compliance & Safety

  • Ensure fleet operations comply with DOT, OSHA, and applicable federal, state, and local regulations.
  • Maintain required licensing, inspection, registration, and compliance records.
  • Review driver eligibility and motor vehicle records in accordance with company standards.
  • Promote safe vehicle operation through established fleet policies and procedures.

Fleet Performance & Technology

  • Utilize fleet management software, GPS tracking, and telematics systems to monitor fleet activity.
  • Analyze fuel consumption, maintenance trends, mileage, and operating costs.
  • Develop recommendations to improve operational efficiency and reduce fleet expenses.
  • Prepare reports related to fleet performance and operational metrics.

Vendor & Budget Administration

  • Build productive relationships with maintenance vendors, dealerships, and equipment suppliers.
  • Monitor fleet-related expenditures while supporting established budget objectives.
  • Review service invoices for accuracy and approve work within authorized guidelines.
  • Coordinate purchasing of fleet-related equipment and supplies.

Communication & Administrative Support

  • Serve as the primary fleet resource for managers, field personnel, and support staff.
  • Maintain accurate fleet documentation and operational records.
  • Protect confidential employee, vehicle, and company information.
  • Represent Citadel Security USA professionally when working with vendors, clients, and regulatory agencies.


Required Qualifications

  • Valid driver's license with an acceptable driving record.
  • Minimum of three (3) years of experience in fleet management, transportation, logistics, or related operations.
  • Strong understanding of vehicle maintenance programs and fleet operations.
  • Knowledge of DOT, OSHA, and applicable transportation regulations.
  • Experience utilizing fleet management software, GPS platforms, and telematics technology.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with Microsoft Office applications, including Excel and reporting tools.
  • Ability to successfully complete a background investigation and motor vehicle record review.


Preferred Qualifications

  • Bachelor’s degree in business administration, Transportation Management, Logistics, or a related field, or an equivalent combination of education and experience.
  • Professional fleet certifications such as CAFM, CPFP, or comparable credentials.
  • Experience managing commercial vehicle fleets within multi-site operations.
  • Experience developing fleet performance reports and operational improvement initiatives.


Work Environment

  • Office-based position with regular travel to fleet locations and operational facilities.
  • Frequent interaction with field leadership, mechanics, vendors, and company personnel.
  • Combination of administrative responsibilities and vehicle inspections.
  • Occasional evening or weekend work to support emergency operational requirements.
  • Fast-paced environment requires flexibility, sound judgment, and effective prioritization.
