Position Overview
Citadel Security USA is seeking an organized and dependable Administrative Assistant to support day-to-day office functions and provide administrative assistance to members of the leadership team, including the Vice President of Operations and Director of Human Resources.
This role involves a mix of document preparation, recordkeeping, scheduling, communications, onboarding support, and project coordination. The successful candidate should be comfortable balancing several responsibilities, staying organized when priorities change, and handling sensitive information with appropriate discretion.
Key Areas of Responsibility
Administrative & Office Coordination
- Provide administrative support to operations, human resources, management, and other designated personnel.
- Draft, format, review, and update reports, forms, spreadsheets, correspondence, and other business documents.
- Keep electronic and paper records organized, accurate, and easy to retrieve.
- Complete routine administrative tasks such as scanning, copying, filing, mailing, and document processing.
- Receive incoming mail, deliveries, and packages and ensure they reach the appropriate recipient.
- Monitor office supply levels and assist with approved replenishment requests.
- Coordinate routine requests involving office equipment, vendors, and general office needs.
- Maintain tracking information for records, reports, requests, and other administrative items.
Support for Leadership & Business Operations
- Assist leadership with calendars, scheduling, follow-ups, reports, and assigned projects.
- Gather and organize information requested by managers and ensure materials are delivered to the appropriate personnel.
- Maintain project files, action-item lists, supporting documents, and status information.
- Help organize administrative workflows and identify opportunities to improve office processes.
- Assist with special projects and additional assignments as business priorities change.
- Follow through on outstanding administrative requests and communicate status updates when appropriate.
Employee Onboarding & Training Assistance
- Prepare forms, materials, and other documentation used during new employee onboarding.
- Assist with coordinating orientation dates, schedules, and related activities.
- Organize onboarding records and help ensure required administrative documents are properly maintained.
- Support training coordination by preparing materials, communicating schedules, and maintaining attendance information.
- Provide administrative assistance for employee development and training initiatives.
- Work with designated personnel to keep onboarding and training information current.
Communication & Reception Support
- Answer incoming telephone calls and route inquiries to the appropriate individual or department.
- Greet employees, applicants, clients, vendors, and visitors in a courteous and professional manner.
- Provide general information when appropriate and direct questions requiring additional assistance.
- Communicate effectively through email, telephone, written correspondence, and face-to-face interactions.
- Handle sensitive conversations and time-sensitive requests with professionalism and discretion.
- Protect confidential employee, company, and operational information.
Required Qualifications
- High school diploma or GED required.
- Strong organizational and time-management abilities.
- Excellent attention to detail and accuracy.
- Ability to manage multiple tasks while adapting to changing priorities.
- Professional verbal and written communication skills.
- Working knowledge of Microsoft Word, Excel, Outlook, and common office software.
- Ability to maintain organized records and meet established deadlines.
- Ability to work independently while recognizing when guidance is needed.
- Good judgment when handling confidential or sensitive information.
- Strong follow-through and problem-solving abilities.
- Professional and dependable approach to daily responsibilities.
Preferred Qualifications
- Previous experience in an administrative, clerical, receptionist, or office-support position.
- Experience supporting multiple managers, executives, or department leaders.
- Administrative experience involving operations, human resources, or business functions.
- Previous involvement with employee onboarding or training coordination.
- Familiarity with electronic records and document-management systems.
- Experience preparing spreadsheets, reports, forms, correspondence, or other business materials.
- Experience working in an office environment where priorities can change throughout the day.
